Surveys

The survey module lets institutions collect structured feedback from students, guardians, and staff. It is available across all supported institution types.

Who Can Use It

  • Admin, Manager, and Teacher can create and manage surveys.
  • Targeted students, guardians, and staff can view and answer surveys.
  • Users acting only as Teacher can target only Group and Student audiences.
  • In preschool institutions, the Student audience is hidden and surveys run only through guardian and staff audiences.

Creating A Survey

Each survey includes the following fields:

FieldRequiredDescription
TitleYesMain survey label shown in lists and detail
DescriptionNoOptional context for respondents
Publish AtYesWhen the survey becomes visible
Close AtNoWhen response collection ends
AnonymousYesWhether answers are collected anonymously

If the Survey Notification setting is enabled in SMS Operations, the target audience also receives an informational SMS when the survey is created.

Supported Question Types

  • Single choice
  • Multiple choice
  • Rating
  • Short text
  • Long text

Choice questions require at least two options. Rating questions are answered on a 1-5 scale.

Audience Targeting

Surveys can target:

  • All
  • Branch
  • Group
  • Student
  • Guardian
  • Staff

List and detail visibility are resolved per request from the signed-in user's role and linked student, guardian, or staff context.

In preschool institutions, the Student audience is not offered and students cannot answer surveys.

Respondent Experience

  • Users only see surveys that currently target them.
  • They can submit one response per survey.
  • While the survey is still open, they can update their existing response.
  • Once the survey is closed, further submissions are blocked.

Manager Analytics

Survey detail pages provide a richer analytics surface for managers:

  • target audience count
  • response count
  • response rate
  • respondent-kind distribution
  • response trend over time
  • per-question option breakdowns
  • rating averages
  • recent text answers

The UI renders these insights directly with charts on the detail page.

Statuses

Surveys move through three lifecycle states:

  • Scheduled
  • Open
  • Closed

Authorized managers can also close an open survey manually from the detail page or delete the survey completely.

Notes

  • Surveys are distinct from announcements. They are designed for in-app feedback collection rather than one-way messaging.
  • Survey responses are not delivered through SMS; SMS is only used to announce that a new survey is available.
  • For group-targeted surveys, visibility depends on the student's active group membership and the guardian's communication permission.
